Hably is a trading name of Hably HQ Ltd, registered in England and Wales, company number 07751628, registered office 31 Walker Avenue, Wolverton Mill, Milton Keynes MK12 5TW. VAT number GB 122 202 285. We are the data controller for the personal information described in this policy.
This policy explains what we collect, why, how long we keep it and what rights you have. It applies to our website, our design configurator and any contact you have with us.
What we collect
Contact details. Name, email address, delivery and billing address, and any phone number you give us.
Order and payment details. What you ordered, your design specification, order value, delivery details and payment confirmation. We don't see or store your full card number. Payments are handled by Shopify Payments and other payment providers, who process card details directly.
Design data. The furniture specification you create in our configurator, including dimensions, finishes and options. The configurator designs furniture, not rooms, so we don't collect measurements or images of your home unless you send them to us.
Communications. Emails, messages and support enquiries, and anything you send us such as photographs of a delivery or an installation.
Recordings. We record and transcribe order confirmation calls and support calls, including video calls where used. We'll tell you at the start of any recorded call.
Website and device data. IP address, browser and device type, and how you use the site, collected through cookies and similar technologies. You control non-essential cookies through our cookie banner.
Marketing preferences. Whether you've subscribed, and how you interact with our emails.
Why we use it, and our lawful basis
To take and fulfil your order. Processing payment, confirming your design, manufacturing, delivery and after-sales support. Lawful basis: performance of a contract with you.
To confirm your design before we manufacture. Recording confirmation calls so we both have an accurate record of the dimensions and specification agreed. Lawful basis: legitimate interests, specifically manufacturing accuracy and resolving disputes about made-to-measure orders.
To answer enquiries and provide support. Lawful basis: legitimate interests, or performance of a contract where you've ordered.
To send marketing emails. Lawful basis: consent, or legitimate interests where you're an existing customer and we're telling you about similar products. You can unsubscribe at any time using the link in any email.
To run and improve the website. Analytics, site performance and security. Lawful basis: consent for non-essential cookies, legitimate interests for security.
To prevent fraud and protect the business. Lawful basis: legitimate interests.
To meet legal obligations. Accounting, tax and consumer law record-keeping. Lawful basis: legal obligation.
Who we share it with
We don't sell your personal information. We share it with:
- Shopify, which hosts our online store and processes orders. Shopify also processes some data as a controller in its own right. See the Shopify Consumer Privacy Policy.
- Payment providers, including Shopify Payments, to take payment and check for fraud.
- imos AG and in3d, who provide our design configurator, hosted on Microsoft Azure.
- Klaviyo, which sends our emails and holds your marketing preferences.
- Microsoft, for email, file storage and recorded calls.
- Our delivery partners, who need your name, address and contact details to deliver.
- Our accountant and bookkeeper, for order and payment records.

If the business is ever sold or transferred, your information may transfer with it.
Where your information is held
Most of our providers store data in the UK or the European Economic Area. Some, including Shopify, store or process data outside the UK. Where that happens we rely on UK adequacy regulations or the UK International Data Transfer Addendum to the European Commission's Standard Contractual Clauses.
How long we keep it
- Order records, including your design specification: seven years from the end of the tax year in which you ordered, to meet HMRC requirements.
- Confirmation and support call recordings and transcripts: twelve months from delivery.
- Support correspondence not linked to an order: two years.
- Marketing contact details and preferences: until you unsubscribe, then a suppression record so we don't contact you again.
- Incomplete configurator designs and abandoned baskets: ninety days.
- Website analytics data: as set out in our cookie policy.

Some of these rights are qualified. We may not be able to delete order records we're legally required to keep.
